Using EndNote Web at HSU

EndNote Web is a web-based application available free to HSU students, faculty and staff. It allows you to 1) import references from Library databases and other sources; 2) edit and manage them; 3) insert stored references into the body of a paper you are writing using Microsoft Word and/or create a bibliography in your preferred publication style; and 4) share references for use in collaborative projects. This guide emphasizes aspects of EndNote Web that are unique to HSU or that add to the excellent EndNote Web online documentation.
Learning to Use EndNote Web
EndNote Web includes excellent help files, a "Getting Started" guide when you first login, online tutorials, phone and email technical support, and webinar classes for which you can register. Creating and Keeping an Account Activated
To use EndNote Web for the first time you must open an account from EndNote Web's Login page. If connecting from off campus you will be prompted for your HSU User Name and Password. (Note: If you have already established a Web of Knowledge account through the BIOSIS Previews database you can use that account information to login.)
To keep your account active you must login within a 12 month period from a campus computer or through the proxied Login above. Access is reset for a new 12 month period everytime you login.
At any point in time you can export all or part of your references to another software application. Export formats available include tab delimited, BibTeX, EndNote and several others.
Adding References
There are four methods to add references to EndNote Web. They are listed in order of ease of adding references. The choice of method is dependent somewhat on the HSU Library database from which you are trying to retrieve references or other source that you are using.
- Online Search
Use EndNote Web's online search interface to directly search the most heavily used HSU Library databases, the HSU Library Catalog and a few major library catalogs; display search results; and directly add selected references to your EndNote Web account.
- Click
and select Online Search.. - Select the database or library catalog connection. If your database or library catalog is not listed you will need to see if it is available using Customize this list.
- Click Connect.
- Enter search terms in the Online Search box.
- Click Search.
- The number of records retrieved will be displayed. Click Retrieve.
- References will be displayed on the screen. Mark All references, all references on the Page or individual references.
- Select the group in which to add your references from the Add to group... drop down box.
- Click
- Direct Export
Use EndNote Web's “direct export” browser extension for Internet Explorer and Firefox to export references from HSU Library databases.
- As a first step download and install the Cite While You Write Plug-in for Windows/Internet Explorer or EndNote Web Extension for Firefox on your computer.
- Search and mark references in a HSU Library database and follow the specific database/provider directions found in EndNote Export Providers to export records from the database. (Note that providers have different names for “direct export”, e.g., "EndNote Export", "Export to Endnote, Reference Manager or ProCite", "Export to Citation Manager" or "Export to Bibliographic Management Software".)

After clicking the "export" button in a database you will be prompted to "Choose Destination"

- After choosing EndNote Web your marked references will automatically be added to the "Unfiled" group in EndNote Web.

- Import References
- Search a HSU Library database
and save the references to a file. Normally you will want to save the file in a .txt format.
The specific steps for saving references vary by database provider. Following are directions for saving references from many HSU Library databases:
- ACM Digital Library: When viewing references Save results to a binder. Within the binder choose the Display Format for EndNote. Save as a .enw file. In Step 4 below choose the ACM Digital Library import filter.
- CSA databases: See EndNote Web Import Formats
- EbscoHost databases: See EndNote Web Import Formats
- FirstSearch (OCLC) databases: See EndNote Web Import Formats
- Forest Science Database (CABI): Mark references, change the Process defaults to Full Record and Text, and change the default Export source to EndNote. Click Export and save the .ris file. In Step 4 below choose the Refman RIS import filter.
- Google Scholar: In Scholar Preferences under Bibliography Manager click the radio button for Show links to import citations into and change the drop down option to EndNote. When viewing a reference click the Import into EndNote link and save the reference. In Step 4 below use the EndNote Import Filter.
- HSU Library Catalog: After marking records navigate to the Print, Save or Email Records box and change Select Format to EndNote Citation. Click Print/Save and save as a .txt file. In Step 4 below choose the Cal St. U. - Humboldt import filter.
- JSTOR: Save Citations and then Export Citations using the EndNote, ProCite, Reference Manager (download RIS file) option. In Step 4 below choose the Refman RIS import filter.
- PubMed: See EndNote Web Import Formats
- OvidSP databases: See EndNote Web Import Formats
- Proquest databases: After marking references choose Export and then Download in a Format Compatible with ProCite, Endnote, Reference Manager and RefWorks. Save the resulting file in .txt format. In Step 4 below choose the Proquest import filter.
- WilsonWeb databases: See EndNote Web Import Formats
- In EndNote Web click
and select Import References. - In the File: box click Browse to find your saved reference file.
- In the Filter: box select the import filter that matches your database or the filter specified in Step 1. above. If your database filter is not listed you will need to add it using Customize this list.
- In the To: box select the reference group in which to put the references.
- Click Import.
- New Reference
- Click
and select New Reference. - Select the appropriate Reference Type from the drop-down box. The screen will redraw to display the appropriate fields for that reference type.
- Enter the bibliographic data in the reference fields. Fields required for a properly formatted citation and bibliography are indicated with asterisks.
- Mark the Group into which you want to add your reference.
- Click Save.
- As a first step download and install the Cite While You Write Plug-in for Windows/Internet Explorer or EndNote Web Extension for Firefox on your computer.
- Follow the directions on the EndNote Web Browser Toolbars Help page to view the toolbar in either browser.
- When viewing a web page click the Capture button on the EndNote Web Toolbar.
- A Capture New Reference window will open. You may have to temporarily turn off your browser's pop-up blocker.
- Follow Steps 2-5 in Option 1 above.
Use this option to add references that you have saved to a file after searching a HSU Library database. It is essentially a two step process involving saving references in the correct format and using the corrresponding import filter to add them to EndNote Web.
Use this option to manually add references using the build-in forms for various publication types.

Use the Capture option on the EndNote Web Toolbar in Internet Explorer or Firefox to open up a Capture New Reference page.
Linking to Fulltext
References imported from HSU Library Databases should automatically include
a
button which links to online fulltext if available. From off-campus you will be prompted for
your HSU User Name and Password. Any other fulltext link you add will only work from on-campus unless you manually append the HSU Library proxy address -- http://ezproxy.humboldt.edu/login?url= ,

Searching References
You can search references you have added to EndNote Web using Quick
Search found under
.
You can perform simple or complex searches using one or more Quick
Search Operators-- +, -, ( ), *, or " ".
Creating a Bibliography
- If you do not already have a reference group established use Quick
Search under
to create a list of references that can be saved as a new group or as
a Quick List group
- Click
and then select
Bibliography. - Under References select your desired group.
- Under Bibliographic Style select desired output style. If your
format is not listed you will need to add it using Customize this list.
- Under File Format select the desired file format. RTF (rich text format) is the appropriate file format for Word documents.
- Click Save, Email or Preview & Print.
Under 4. above there are several bibliographic styles available for creating an annotated bibliography--APA Annotated, MLA Annotated, or a generic Annotated style. For the annotations to be outputed they must be in the "Research Notes" field, one of the editable fields associated with each reference.
Inserting References Into Microsoft Word Documents
Using the Cite While You Write plug-in for Microsoft Word you can insert references stored in EndNote Web into the body of a paper you are writing and create an associated bibliography. As a first step you will first need to download and install the Cite While You Write Microsoft Word plug-in.
Once installed follow the Cite While You Write instructions found on the Endnote Web help page. Most of the steps are illustrated in this Cite While Your Write powerpoint presentation.
Sharing References
You can share reference groups you create with others who have or can create EndNote Web accounts at HSU or at other institutions. This is useful for class or other research projects where there is a need to collaboratively build or share a bibliography. The extent of access is determined by the reference group owner and can be read only, entirely read and write, or read and write to selective group members.
